Add a product

Name, price, cost, barcode/UPC, SKU, category, image, brand and description across the five tabs of the product form; archiving a product you no longer sell.

Menus and available actions depend on your role and enabled services. In the local demos, use sample records only; no real payments or messages are sent.

Adding a product is how an item becomes sellable at the register. Anyone who can open Products can do it.

Open Products and press Add Product. The form has five tabs — Basic, Variants, Inventory, Categorization and Tax. On a brand-new product only Basic, Inventory and Categorization do anything; the Variants and Tax tabs tell you to save first and reopen the product. That is expected.

The Basic tab

Three fields are required, all on this tab: Product Name, Selling Price and Cost. Save is refused until all three are filled, and the form jumps back to Basic to show you which one is missing.

Field What it does
Product Name What the cashier sees on the register tile and on the receipt. It has to be unique across your whole catalog. A second product with a name already in use is not saved, and nothing on screen tells you so — see How to tell a save worked below.
SKU Your own item number. A plain number is stored as the numeric SKU. Anything with a letter or a dash in it is moved into Custom SKU instead — but only if you left Custom SKU empty. Fill in both boxes with a code that has letters in it and the SKU value is thrown away without warning. Put one code in one box.
UPC / Barcode The barcode on the package. This is what a scanner matches at the register.
Custom SKU A second code of your own — free text, no format rules.
Brand Free text. It is not shown on the products list and you cannot sort or filter by it there. It appears under the product name on the Inventory page, and in the product's own form.
Description Free text, two lines on the form.
Selling Price The shelf price.
Cost What you pay for one. Used for the margin figure on the product's detail panel.

The image picker is the square to the left of the name. Choose a file and the preview appears immediately, but the image is not uploaded until you save.

Avg cost — updated on receiving appears only when you reopen an existing product, and it is read-only. It is maintained by the purchasing side of the app, not by you.

At the bottom of Basic sit one checkbox — Requires lab result (COA) — and, below it, a Lab results link box that takes a web address. Both are covered in Attach a lab result or COA. A second checkbox, Available for delivery, appears between them only if your store has the delivery storefront turned on.

The Inventory tab

On a new product this tab has one field, Initial Stock. Whatever you type is written as the on-hand count at the location you are currently working in. Every other location starts at zero.

On an existing product the stock figure is read-only and the form says so: Adjust stock from the Inventory page (keeps a full audit trail). That is deliberate — quantity changes belong on the Inventory page, where each one is recorded with a reason and your name. See Set, adjust or count a quantity.

The Inventory by Location and Stock Value panels on a saved product's detail drawer are always empty and always read $0.00. They are not wired to anything. Read your real numbers on the Inventory page.

The Categorization tab

Category is a single choice from the list you build on the Categories page — see Organise with categories and tags. Age Restriction is a three-way choice of None, 18+ or 21+; read Mark an item 18+ or 21+ before you rely on it. Tags appear here once the product has been saved.

Save the product, then reopen it from the products list. Four things become available that a new product does not have:

How to tell a save worked

The form does not tell you when a save fails, so check the result yourself.

On an existing product, the Save button turns green and reads Saved! whether or not the save went through. A rename to a name another product already uses, or any other refusal, looks exactly like a successful price change. After changing a price, close the product and reopen it — or refresh the products list — and read the new price back before you trust it.

On a new product it is the other way round: nothing happens at all. The Add Product window stays open with no message, and the product is not in the list behind it. The usual cause is a product name already in use. Pick a different name and save again.

Do not use the Quick Edit pencil

Every row of the products list has a pencil icon labelled Quick Edit, and a matching one on hover in grid view. It offers a price box and a stock box.

Do not use it. Saving it sends only the name, price, cost and stock, and the save is not a partial update — every field it leaves out is overwritten. The product's barcode, SKU, Custom SKU, description, brand and category are all cleared. The stock number is worse: it is applied as an addition to what is already on hand, so an item showing 40 becomes 80. It writes no audit-log entry either, so nothing records what happened.

Change a price by opening the product and using the full form — then reopen it and read the price back, because the green Saved! does not prove the change landed. Change a quantity on the Inventory page.

Removing a product

The trash icon on a product row archives it. There is no confirmation prompt — one click and the product is gone from the list, from the register grid and from search. The Delete Selected button in the bulk bar does the same thing to every ticked row at once, also without a prompt.

Archiving keeps the product and its sales history in the database, but the app has no screen that lists archived products and no button that brings one back. Treat the trash icon as permanent from where you are sitting.
