Every stock change goes through one panel, and every one of them is recorded with a reason and your name. Open Inventory, then either press Adjust Stock at the top, or the + on a product's row to start with that product filled in.
Pick the operation first
The panel opens on four buttons. Choosing the right one matters, because the number you type means something different in each.

The panel spells out the effect under the amount box before you can commit: Current: 40 → New: 52. On a Count it adds the variance first: Expected 40 → Counted 37 (variance -3). Read that line every time; it is the difference between fixing a number and doubling it.
A Set or Count of zero is fine — an empty shelf is a real answer. An Adjust of zero is refused, because it changes nothing.
The reason is required
Set, Adjust and Count will not commit without a Reason: Received Shipment, Reorder / Restock, Damaged / Expired, Shrinkage / Loss, Customer Return, Inventory Audit, Correction, Other. Notes underneath is optional free text and is stored alongside the reason.
This is the whole point of the panel. A quantity that changed for no recorded reason is indistinguishable from theft, so the system will not let you make one. The reason lands in the audit log next to your name — see See who changed a quantity.
Fast edits on the grid
For a single quick correction you do not need the panel.
Click a Quantity figure in the table and it becomes an editor with a small SET / ± toggle:
- SET starts with the current number selected, so typing replaces it. Enter commits.
- ± starts empty and takes a signed change —
+12or-3.
Escape cancels; the tick commits. The grid then shows the number the server confirmed, not the number you typed, so what is on screen is always what is in the database.
Inline edits are recorded too, under the reason Inline count edit for a SET and Quick adjustment for a ±. If the reason matters — a write-off, a delivery — use the full panel and pick the real one.
Adjusting several products at once
Tick the products in the table, then press Bulk Adjust in the bar that appears. Choose Add, Remove or Set To, type one quantity, pick one Reason — required here as well — and apply.
The same operation and the same quantity go to every ticked product. There is no per-product amount. The result tells you how many succeeded: all of them, none of them, or Bulk adjusted 7 of 9 — 2 failed. A product that failed keeps its original number.
What is refused, and what is not
Manual changes cannot take stock below zero. An Adjust that would is refused outright, and the panel greys the button and warns cannot go below zero before you try. A Transfer that would leave the source short is refused as Insufficient stock at the source location.
Selling does not have that guard. The register completes a sale even when it takes the count negative, and it does not warn the cashier. So a negative number in the Quantity column is normal and means: this sold more than the system thought you had. Count the shelf and use Count to put the real figure in.
Anyone signed in can do this. There is no separate permission for changing stock — the check on these screens is the audit trail, not who can reach them. Reading the audit log is a manager's job.
Serialized products
If a product is tracked by serial number, its on-hand is the count of its in-stock units and this panel is the wrong tool. Add, remove or re-shelve units on the product itself — see Track units by serial number.
