Schedule & Timesheets has two tabs. Schedule is the week you are planning. Timesheets is what actually happened. This page covers both.
Anyone signed in can open Schedule & Timesheets and read the week and the clock entries. Only adding, deleting and copying shifts are gated, on Manage schedule. Editing an existing shift is checked differently again — see Roles and what each one can do.
Lay out a week
The grid is one row per employee and one column per day, Monday to Sunday. Use the arrows at the top left to move between weeks, or Today to jump back.
To add a shift:
- Click an empty cell for the person and the day.
- Set Start Time and End Time. They default to 09:00–17:00.
- Add a note if you want one — "Opening shift", "Closing duties".
- Click Create Shift.
To change one, click the shift block itself and use Update Shift. To remove it, open it and click Delete Shift; it asks you to confirm and the delete cannot be undone.
A shift is live the moment you save it. There is no draft and no publish step — anyone who can see the schedule sees your change straight away, so build the week somewhere private if you do not want half a plan looked at.
You cannot enter an overnight shift here
Start Time and End Time are both saved against the one date you picked. An end time earlier than the start does not roll into the next day — it produces a shift of negative length, which subtracts from Total Hours, from Labor Cost and from that person's weekly total and OT figure. A 22:00–06:00 shift is stored as minus sixteen hours.
Enter a night shift as two shifts: one from the start time to midnight on the first day, and one from midnight to the end time on the second.
Copy last week
Copy Previous Week takes every shift from the week before the one you are looking at and recreates it in the current week, on the same weekday, at the same times. A shift that already spans midnight is copied with its span intact — but open that copy and press Update Shift and both ends collapse back onto the one date, which is the negative shift described above.
It adds to the week rather than replacing it. Pressing it twice gives you two copies of every shift, and pressing it on a week you have already filled in doubles it. Copy into an empty week, then edit.
If last week had no shifts, nothing happens and no error is shown.
Reading the tiles above the grid
- Total Hours — the scheduled hours in the week on screen.
- Labor Cost — those hours multiplied by a flat $15/hr, printed as est. @ $15/hr underneath. It is not built from anyone's real wage. See Set wages.
- Employees — how many people are on the roster.
- Shifts — how many shifts are in the week.
A person's weekly total in the right-hand column turns red and shows OT above 40 hours.
Everyone on the roster is on the grid
The employee rows are everyone in your account, in every role — including you and including office staff who never work a shift. There is no way to hide somebody from the grid, so a long staff list makes for a long scroll.
The Timesheets tab
Timesheets shows the clock entries behind the hours. Pick This Week, Last Week, Pay Period or a custom range, then filter by name or by status.
Each row is one shift with its clock-in, clock-out, break and hours, tagged with one of:
- Complete — clocked in and out.
- In Progress — clocked in, still on shift.
- Missing Clock-in / Missing Clock-out — the pair is broken.
Two more badges exist in the code and you will not see them: Approved has no button in this app to set it, and Auto Clock-out is never set at all because nothing closes an open shift automatically.
An Overtime Alert banner names anyone over 40 hours in the range.
Export CSV downloads the rows as they are on screen — employee, date, clock in, clock out, break, hours, status — plus a total and an estimated cost at the same flat $15/hr.
The tab is read-only. There is no edit and no approve button on it.
Clocking in and out
There is no self-service clock in this app. Staff cannot clock themselves in or out, and there is no break button.
The only control is on the Employees page: open somebody's row and press Clock In or Clock Out on their behalf. That means a manager has to be on hand at the start and end of every shift.
The consequence is worth planning around: a missed clock-out does not close itself, and nothing on the Timesheets tab can correct it. A shift left open sits as Missing Clock-out and its hours are wrong until Stratamize support fixes the entry. Get into the habit of clocking people out before you leave.
One location only
The week view always reads and writes your first location. There is no location picker on this page, and the location you have selected elsewhere in the app makes no difference here. On a second site, the shifts you enter go to the first location and the second site's schedule is not visible.
What is not here yet
- No shift swapping, no availability, no time-off requests, and no way for staff to see their own schedule.
- No timesheet approval or correction.
- No payroll export. See Set wages.
