Add people from Employees, not from Admin. The Employees form is the only one that asks for a PIN, and the PIN is what lets somebody unlock a terminal and ring a sale under their own name.
You need to be a Manager, an Admin or a Super to add an employee.
Add the person
- Open Employees.
- Click Add Employee.
- Fill in: - Full Name - Phone - Email - Role — the form offers Cashier, Manager and Admin. Do not leave floor staff on Cashier: the built-in Cashier role carries no permissions at all. See Roles and what each one can do. - PIN Code — four to six digits.
- Click Add Employee.
All five fields are required. The form refuses to submit without a PIN (A 4-6 digit PIN is required.), because a person with no PIN cannot get past the lock screen.
You cannot create somebody with a role above your own. A Manager adding an Admin is refused with Forbidden: You cannot grant the 'admin' role.
Floor staff: create them here, then change the role
The role you want for a cashier or a server is Employee, and Employee is not on this dropdown. Cashier is, and Cashier holds no permissions at all — a person left on it can ring a sale but cannot look a customer up at the register.
So it is two steps:
- Create the person here, on Cashier. This form is the only one that sets a PIN, which is why you start on it.
- Open Admin → Users, click them, and change their role to Employee.

Do not pick "Inventory Clerk"
The role dropdown offers a fourth option, Inventory Clerk. It is not one of the roles that ship, so the save fails with Invalid role: inventory clerk and nothing is created. Pick Cashier to get the record created, then change the role to Employee in Admin → Users as above.
PINs are unique across your staff
Two people cannot hold the same PIN. If the one you typed is already in use the form says That PIN is already in use — choose another, without telling you whose it is. Pick a different one.
Nobody can read a PIN back afterwards, including you — it is stored scrambled. If someone forgets theirs, set a new one rather than looking the old one up.
Change someone's PIN later
- Open Employees and click the person's row. Their panel slides in from the right.
- Find Lock Screen PIN.
- Type the new four-to-six digit PIN and click Set PIN.
The same uniqueness rule applies. You cannot set a PIN for somebody who outranks you.
If you added someone from Admin > Users
Admin → Users → Add User and the first-run setup wizard both create a person with a name, phone, email and role — and no PIN. That person can sign in to the app in a browser but cannot unlock a register.
The fix is one step: open Employees, click their row, and set a PIN under Lock Screen PIN.
When somebody leaves
There is no offboarding button anywhere in the app. Removing a person from the rota does not stop their PIN working, and a former employee's PIN keeps unlocking a terminal until it is changed.
Until an offboarding screen exists, do this on their last day:
- Open Employees, click their row, and set their PIN to a new number that only you know. That takes their old PIN out of circulation immediately.
- Ask Stratamize support to archive the account so it drops off the roster.
What is not here yet
- No archive, deactivate or delete for an employee.
- No way to see or reset a PIN other than overwriting it.
