The ten reports and what each answers

One paragraph per shipped report: Sales Summary, Sales by Category, Sales by Employee, Top Products, Top Customers, Hourly Sales, Inventory Valuation, Payment Methods, Sales Tax…

Menus and available actions depend on your role and enabled services. In the local demos, use sample records only; no real payments or messages are sent.

Reports holds ten reports, grouped down the left by Sales, Tax, Payments, Inventory, Customers, Labor and Custom. Every one of them is read on screen first, then printed, saved as a PDF or exported — see Choose a date range, preview, print and download.

Opening Reports at all needs the View reports permission. Manager, Admin and Super have it; the built-in Cashier role does not.

Before you use any of them

Two rules apply to every report except Sales Tax, and they matter more than anything else on this page:

  • A sale refunded in full disappears entirely, including from the day it was originally rung. Last week's total can shrink after the fact.
  • A partial refund is not subtracted at all. The sale stays at its original value.

So the sales reports answer "what did we ring", not "what did we keep". For a figure that nets returns, use Sales Tax — see File your sales tax.

Open tabs are excluded from all of them.

Sales

Sales Summary — the headline block for a period: gross sales, discounts, tax collected, net sales, transaction count and average sale, then a day-by-day table with a total. This is the report to start from.

Sales by Category — what each product category sold, by money and by item count, biggest first. A product with no category set does not appear.

Sales by Employee — one row per cashier, with total sales and transaction count. The correct source for who sold what; see See who sold what. It groups by name, so two people with the same name merge into one row.

Top Products — the best sellers for a period. Set Rank by to Revenue (the default) or Quantity sold, and Top N for how many rows. The quantity ranking deliberately has no money column, because the query behind it does not produce one.

Tax

Sales Tax Report — every dollar of tax collected, broken out by the rate that collected it, with refunds netted off in the period the refund happened. The one report built for filing. It has its own page: File your sales tax.

Payments

Payment Methods — cash sales, card sales and total sales for a period.

Read it with care. It adds up only the cash and card columns on each sale, so anything paid another way is in the total and in neither line. A store-credit sale is the common case: cash plus card will be less than total, and the gap is the store credit. It is not a drawer reconciliation and it will not balance one.

Inventory

Inventory Valuation — what your stock is worth right now, at cost and at retail, and how many items are on hand. It is a snapshot of this moment, so it has no date range — only a location filter. Archived products are left out.

Customers

Top Customers — your highest-spending customers for a period, with their total and their transaction count. Top N sets how many. Only sales with a customer attached appear, so walk-in trade is invisible here.

Labor

Hourly Sales Distribution — sales and transaction count by hour of the day across the period, in order from midnight. Use it to see when the shop is busy and to staff against it.

Custom

Custom Report — build your own table. Pick one source and tick the columns you want:

  • Sales line items — date, product, quantity, unit price, total, employee, location.
  • Products — name, SKU, brand, price, cost.
  • Customers — name, phone, email, tier, wallet balance, lifetime cashback.

The date range and location apply to the sales source. It is the only report that gives you a row per line rather than a summary, so it is the closest thing to a raw export the app has.

What is not here yet

  • No returns or refunds report. There is no report that lists what was sent back or why.
  • No cash-drawer or register-session reconciliation report. Counting the drawer is done on the register, not here.
  • No profit-margin, reorder, period-over-period comparison or basket-analysis report.
  • No scheduled or emailed report. Every report is run by hand.
