Your data and backups

Stratamize does not run an automatic backup of your store data, there is no export of your catalog, customers or sales, and the two things you can do about it today.

Menus and available actions depend on your role and enabled services. In the local demos, use sample records only; no real payments or messages are sent.

Stratamize does not currently run an automatic backup of your store data. There is no nightly copy, no scheduled export, and no restore procedure you can ask us to run.

If you have seen an older Stratamize manual saying backups are handled automatically, that statement is wrong and this page replaces it.

Nothing here means your data is at unusual risk. It means the safety net you may have assumed is there is not there yet, and there are two things worth doing about it.

What you can get out of the system

Two exports exist. Both produce a file on the computer you are using.

Reports. Open Reports, choose a report, set the date range, and generate it. You can then:

  • Export CSV — the report's figures as a spreadsheet file.
  • Print / Save PDF — the printable version, which your browser's print dialogue will save as a PDF.

Every report in the catalog works this way, including Sales Summary, Sales Tax, Sales by Category, Sales by Employee, Top Products, Top Customers, Hourly Sales and Inventory Valuation.

Inventory. The Inventory screen has an Export button that saves what is on screen as a CSV. Remember it exports the rows the screen has loaded, which is the first 200 products.

What you cannot get out of the system

  • Your product catalog. There is no catalog export.
  • Your customer list. There is no customer export.
  • Your transactions. There is no export of individual sales, tenders or refunds. Reports give you totals, not the underlying rows.

So a full copy of your store's data is not something you can take for yourself today.

What to do about it

1. Pull the reports you need, on a schedule, and keep them.

Decide what you would need if the system were unavailable for a week, and generate it regularly rather than at the end of the year. A reasonable minimum:

Monthly Sales Tax report, as PDF It is what you file from, and its refund line is the only refund figure in the product.
Monthly Sales Summary, as CSV Gross, discounts, tax, net, transactions, and the day-by-day breakdown.
Quarterly Inventory Valuation, as PDF Your stock on hand and what it is worth, dated.
Quarterly Sales by Employee and Top Products Useful history you cannot reconstruct later.

Save them somewhere that is not the till — a cloud drive, or your accountant's inbox. A file on the terminal is not a backup of the terminal.

2. Talk to Stratamize before anything moves.

Before you change providers, close or merge a location, move to different hardware, or stop trading, tell us first and in writing. Do not assume your data will be exported for you as part of the change. Ask specifically what will be kept, in what form, and for how long, and get the answer before the change happens rather than after.

3. Keep the paper.

Your printed receipts, your drawer count slips and your own written notes of refunds are records the system cannot regenerate. They are worth filing.

If you want this changed

Say so. Automatic backup, a restore procedure and a full data export are all things that get prioritised by customers asking for them. There is no date to give you and this page will not invent one.
