Store credit lives on the customer's record, so the customer has to be on the sale before you can spend it. There is no card and no code to type in.
Read the section on the cash screen below before you use this. The money is recorded correctly, but the amount the register asks the cashier to collect is not, so this needs a deliberate habit at the counter.
Spend a customer's credit
- Attach the customer to the sale. Click the customer area of the cart, search for them, and click their name. Their credit is shown on the right of each search result.
- Ring the items as usual and press the payment button.
- A green Wallet Balance panel sits at the top of the payment screen showing what they have. It only appears when the attached customer has a balance above zero.
- Type the amount of credit to use, or click Use All to apply as much of the balance as the sale needs.
- Choose Cash and finish the sale. Do not choose Split Payment from here — see Splitting a part-credit sale below.
The box will not let you enter more than the customer holds, or more than the sale is worth — whichever is smaller.
The cash screen does not subtract the credit
Once you pick Cash, the register behaves as though no credit had been applied:
- Amount Due at the top shows the whole sale total, not what is left after the credit.
- Exact Amount fills in the whole sale total.
- Change Due is worked out against the whole sale total.
- Complete Cash Payment stays greyed out until Cash Tendered is at least the whole sale total.
What the sale actually records is correct: the credit comes off the customer's balance, and the cash figure written to the drawer is the sale total minus the credit. Only the prompt is wrong.
So at the counter:
- Write the credit amount down before you press Cash, then work out what the customer really owes: sale total minus the credit you applied. The green Wallet Balance panel is on the first payment screen only — once you are on the cash screen it is gone, and nothing there shows how much credit you applied.
- Take that amount from the customer.
- Type the full sale total into Cash Tendered so the Complete button turns on. Ignore the Change Due figure — it is computed from a number the customer did not hand you.
- Give change based on your own figure from step 1, not the screen's.
Until this is fixed, treat a part-credit sale as a two-step count and do not let a new cashier work one unsupervised.
A part-credit sale never gets the cash discount, even when the rest is paid in cash — the discount is for a sale paid entirely in cash. If your store offers one, the total goes up the moment you enter a wallet amount.
Splitting a part-credit sale
Do not type into the Wallet Balance box and then switch to Split Payment. The split builds the payment from the rows in the split editor and nothing else, so the amount you put in the Wallet Balance box is thrown away: the customer is charged the full total and their credit is not spent at all. That is money the customer keeps and you never collect against.
Split it the other way instead:
- Clear the Wallet Balance box back to zero.
- Open Split Payment.
- Add a row and set its method to Wallet — the option appears only when the attached customer has a balance. Put the credit amount on that row.
- Add the cash or card row for the rest, so the rows add up to the sale total.
- Complete the split.
That path records the credit correctly and asks for the right money. It is the one way to take part of a sale in store credit without the counter arithmetic above.
What stops credit being spent twice
The balance on the screen is only a display. When you complete the sale, the server checks the customer's real balance again and takes the money from it as part of the same operation that records the sale. Two registers ringing the same customer at the same moment cannot both spend the same dollar: the second is refused and the sale stops with Wallet redemption failed — redemption is disabled for this store or the balance is insufficient. Remove the wallet payment and retry.
If the sale itself fails after the credit has been taken, the credit is put back. A customer is never left short for a sale that was not recorded.
Messages you may see
- Wallet redemption failed — redemption is disabled for this store or the balance is insufficient. Either an Admin has turned Redemption Enabled off on the Rewards page, or the balance moved since you opened the payment screen. Remove the wallet amount, re-open the customer and check the balance.
- No Wallet Balance panel at all. Either no customer is attached to the sale, or the customer's balance is zero.
Refunds
Refunding a sale that was paid with store credit puts the credit back on the customer's record and takes back the cashback that sale earned. A partial refund cannot claw the same cashback back twice.
Refunding a sale that was not paid with store credit returns the money the way it was taken. You cannot choose to hand back store credit instead.
What is not here yet
- There are no gift cards and no store-credit card. Credit is found by looking up the customer.
- There is no screen that lists a customer's credit history. You can see the balance, not the entries that produced it.
- The Wallet Balance box and the Split Payment view do not work together. Use a Wallet row inside the split, as above — never both.
