Customers is where you keep the people who buy from you: their contact details, their store credit, and their rewards tier. Anyone signed in can add a customer. Opening the list needs the View customers permission, and changing a customer needs Manage customers — Manager, Admin and Super have both.
Find a customer
- Open Customers.
- Type into the search box above the table.
Search matches first name, last name, the two together, email and phone number.
Two things about it are worth a habit at the counter:
- It is case-sensitive. Typing
smithdoes not findSmith. Type the name the way it was entered, with the capital letter. - The phone match strips hyphens and brackets, but not spaces. A number saved
as
(555) 123-4567becomes555 1234567, so typing5551234567never finds it — you would have to type the space in the same place. A number saved as555-123-4567or5551234567is found either way.
Save every phone number in one format with no spaces and the search stays reliable. The same search backs the register and the rewards tablet, so a number stored with a space is one the tablet answers Customer not found to.
The table shows 25 customers at a time. Click Name, Phone, Email, Tier, Wallet or Last Visit in the header row to sort by that column; click again to reverse it. The arrows at the bottom right move between pages.
The tier buttons — All, Standard, Silver, Gold, Platinum — filter only the 25 rows you are looking at, not the whole customer list. To find every Gold customer, search or sort by Tier instead of using the buttons.
Add a customer
- Click Add Customer at the top right.
- Fill in First Name, Last Name and Phone. Those three are required.
- Everything else is optional: email, street address, city, state, ZIP, birth date and notes.
- Click Add Customer.
Phone numbers and email addresses have to be unique. If someone already has the
number you typed, the form says Phone number 5551234567 is already taken and
nothing is saved — search for the number first and use the customer you already
have.
Add a customer during a sale
You do not have to leave the register.
- On the sale screen, click the customer area of the cart.
- Type at least two characters. Matching customers appear with their store credit on the right.
- Click the person to attach them to the sale.
If they are not on the list, click Add new customer. The short form asks for first name, last name and phone, creates the record, and attaches it to the sale you are already ringing. Whatever you typed into the search box is used to pre-fill the form: a number seeds the phone field, anything else seeds the name.
The register uses the same customer search as the Customers page, so it needs the same View customers permission. A cashier whose role does not carry it can still add a new customer, but the search box finds nobody.
What the detail panel shows
Click any row to slide the customer's detail panel in from the right.
- Wallet — their store credit balance. This figure is correct and is the one the register spends from.
- Tier — Standard, Silver, Gold or Platinum, awarded automatically from their spend. See How cashback and tiers work.
- Contact Information — phone, email, address, birthday.
- First Visit and Last Visit.
- Notes — free text, for anything you want the next cashier to know.
Click Edit to change the fields, then Save. Editing needs the Manage customers permission. Only an Admin or Super can change the Wallet figure by hand; if a Manager types a new balance, the save succeeds but the balance is left as it was.
If you are an Admin, close and reopen the customer immediately before you save. Save writes the Wallet figure exactly as it stood when you opened the panel, whether or not you touched it. So a panel left open while that customer shops at the till puts their old balance back — the cashback they just earned, or the credit they just spent, is wiped. Open, change, save, and do not leave a customer panel sitting open.
You can also pick a tier by hand while editing, but the system recalculates the tier from spend the next time that customer buys something, so a hand-set tier does not stick.
What the numbers on this screen do not mean yet
Four figures on this page do not yet do what their labels suggest. They are safe to ignore.
- New This Month, Active (30 days), and First Visit / Last Visit read visit dates that a sale rung on the app's sale screen does not write, so they stay empty or read "Never".
- Avg Spend at the top of the page always shows $0.00.
- Inside the detail panel, Transactions and Total Spent count one entry
per line on a receipt rather than one per sale, so a customer who bought four
things in one visit shows as four transactions. The Recent Purchases list
below them repeats the sale once per line and labels each row
Sale #undefined.

What is not here yet
- There is no way to delete, merge or export a customer from the app. A duplicate record stays until Stratamize removes it for you, so search before you add.
- There is no email or text marketing opt-in anywhere on the customer form.
